This walkthrough is for office managers at dental practices with 1 to 5 locations. If you are at a 10+ location DSO, the process is similar but you will want to involve operations leadership. Everything below assumes you are the person who currently owns the supply spreadsheet.
Before you start: what to gather
The single biggest reason switches drag on for weeks is missing information at the start. Spend 10 minutes upfront and the rest of the process flies.
You need three things in front of you:
1. Your current supply list. Whatever you use today, the spreadsheet, the printed clipboard, the notebook in the supply closet. We are not going to type every item from scratch. We will import what you already have.
2. Your supplier list. Most practices order from 2 to 4 vendors regularly. Henry Schein, Patterson, Benco, maybe a specialty supplier for orthodontic or implant supplies. You need each supplier's name and the email address you send purchase orders to.
3. Your team list. Just names and email addresses for anyone who will need access. The dentist, the office manager, the lead assistant. Three to five people for most practices.
That is the whole prep step. No one has ever told me they could not find these three things in 10 minutes.
Step 1: Create your account (2 minutes)
Go to medrestock.com and click "Get Started." Enter your work email, the one you actually check, not a generic info@ address you barely look at.

The first screen asks you to name your practice. Put your actual practice name. This shows up on every purchase order you send to suppliers, so spell it the way your suppliers know you.
Step 2: Add your locations (1 minute)
If you have one location, you can skip this. MedRestock creates a default location called "Main Office" automatically.
If you have multiple locations, click "Locations" in the left sidebar and add each one. Just a name and an address per location. This matters because supply tracking is location-specific. Your downtown office and your suburban office have different supply closets, and they should be tracked separately.
Step 3: Import your supply list (5 minutes)
This is the part most practices think will take days. It does not.
Open MedRestock's "Items" page. Click "Import." You have two options:
Option A: Upload your spreadsheet directly. If your supply list is already in Excel or Google Sheets, just download it as a .xlsx or .csv and upload. MedRestock reads the columns and asks you to map them: which column is the item name, which is the SKU, which is the unit cost. Click through, click "Import," done. A practice with 200 items will see them all imported in under a minute.
Option B: Use our blank template. If your "supply list" is a paper clipboard, download our template, type your items into it, and upload. This is slower but still takes most practices under 30 minutes.
What to import vs what to skip: Do not try to import every disposable supply on day one. Focus on the 30 to 50 items that genuinely matter, the ones where running out causes a real problem. You can add the rest later as you reorder them. Perfection on day one is the enemy of getting started.
The most common worry I hear at this stage is "what if the import is wrong?" The answer is: you can edit any item in two clicks, and you can re-import as many times as you want during the trial. Nothing is locked in.
Step 4: Set your low-stock thresholds (3 minutes)
This is where MedRestock starts saving you time, not just tracking what you already track.
For each item, you set a "low stock threshold," the quantity at which MedRestock should alert you to reorder. For composite resin you might set it at 5 syringes. For nitrile gloves you might set it at 2 boxes. For implant abutments you might set it at 1.
You do not need to do this for every item on day one. Start with the 10 to 15 items where running out is most painful. The rest can stay at zero (no alert) and you can add thresholds as you go.

Step 5: Add your suppliers (2 minutes)
Click "Suppliers" in the sidebar. Add each vendor you order from. Just three fields per supplier:
- Supplier name (e.g., "Henry Schein Dental")
- Order email (the one you currently send POs to)
- Account number (if applicable)
Most practices have between 2 and 4 suppliers. This step takes longer to explain than to do.
Step 6: Add your team (2 minutes)
Click "Team." Invite each person who needs access by email. You can pick their role:
- Owner: full access, billing, can delete the practice
- Manager: full access except billing (good for office managers who handle ops but not finance)
- Staff: can update inventory levels and view alerts, cannot change prices or delete items
Most practices end up with 1 owner (the dentist or practice owner), 1 to 2 managers (the office manager, possibly a lead assistant), and 1 to 3 staff members.

What happens after the 15 minutes
